Laptop FAQs

Access Services has received many questions from other libraries and institutions interested in starting their own laptop check-out program. The following are some frequently asked questions we've received:

How many laptops are available for checkout? Are there times when all of the laptops are checked out?
We currently have 194 Dell and 5 MAC laptops available for checkout. There are times when all of the laptops are checked out but this is usually during the end of the Fall and Spring semester.

Have you ever had to assess damages for missing parts (power cord, optical mouse, etc.), a damaged computer, or one that was stolen or otherwise not returned? If so, what has occurred and how often do things like this happen?
We have had some thefts and damage. Our security system has been greatly upgraded recently to help prevent future problems. Anything that isn't working properly can often be fixed in-house though we have on occasion needed to seek help from vendors.

What sort of procedure do you have in place for checking out laptops? Are the laptops barcoded and checked out via the normal circulation system?
We have patrons present a photo ID upon checkout. If needed, our staff briefly reviews the basic procedures with the first-time users. Laptops are barcoded for checkout. Additionally, power cords and optical mice are barcoded separately as a group package for checkout.

When a laptop is returned, what check-in procedure do you have in place?
Laptops are checked in via the same procedure as other reserve materials. Upon return, staff checks the returned laptop for missing parts or damages. Laptops are only powered on to assess any reported problems. Return receipts are encouraged and only available upon request. Return receipts are required to challenge all laptop fines and/or charges.

Do you have extra batteries for laptops to give to students if the first one runs low?
Laptop batteries are not recharged. Patrons are instructed to plug-in laptops at all times in order to protect their work.

Besides a power cord, optical mouse, and carrying case, what additional accessories do you have available?
Headphones, External Floppy Drives, and Laptop stands are available for check-out. These items are checked out separately from the laptop.

Once a laptop is returned, do you GHOST or otherwise rebuild a fresh software image on to the machine? Does your circulation staff or the technology support people do this?
Our library technology services take care of the ghosting/imaging of the laptops as well as resolving repair issues.

Are patrons allowed to install software on the laptops?
No

Are patrons allowed to access the library's network and can they print to network printers?
Patrons using both Dell and MAC laptops have the same access to the network as any other patron using a computer in the library and may print for a fee.

Overall, what would you say has been the biggest surprise that you didn't plan on?
The popularity and demand for the laptops has been far greater than anticipated.
