Gift Screening Criteria
(May be used as pre-screening guidelines for review of big or unusual gifts.)
Automatic Discards
1) Poor Condition:
Yellowed, brittle, torn pages, missing pages/covers, any items needing repair, moldy, smelly, any marked up/highlighted text, printing errors
2) Format:
- Microformats (except for ERIC microfiche; missing fiche automatically added)
- Slides
- Videos (except for veterinary)
- Electronic books
- CDs—used/pkg opened (whether accompanying print or not); possible copyright violation
- Mass market paperbacks
3) Content:
- Annual reports
- Bibles
- Books in print
- Catalogs of goods/services (except for art exhibition catalogs)
- Club publications
- Computer manuals more than 3 years old
- Condensed books
- Duplicates (excludes different locations)
- Earlier editions/versions of titles we own (except for literature)
- Encyclopedias, general & popular, e.g., Americana, Britannica, World Book
- Federal or state legal reporters, case reporters, and statutes
- Manuals coming with software programs, electronic devices, or other products
- Material in a non-Roman alphabet
- Medical books older than 10 years
- Membership directories
- Programs & abstracts of organizations
- Reprints of articles
- Telephone directories
- Travel guides, e.g., AAA, Rand McNally
- Who's who type books
- Working papers
4) Journals:
unless they are complete volumes that fill a gap in an active STO (except if they fill a gap for a JSTOR titles or are older than 20 years)
Automatic Adds
- Computer books less than 3 years old
- Established series, proceedings, etc.
- Items published by ARL
- Items that will replace a title already on order
- Journals—complete volumes that fill a gap in an active STO (except if available on JSTOR or are older than 20 years)
- Replacements for CSU theses/dissertations for salvaged copies
- Replacements for “Missing” items
- Books authored by CSU professors - Priority 1 (adjunct and affiliate faculty publications are placed on the review shelf)
- Unique copies of items from donors/publishers with agreements already in place (e.g. Tom K., Kirk C., Kingman veterinary, new books from GSA)
- Publications from Natural Heritage Program at Colorado State University (per A. Level 6/8/04)
- Up to two copies of all CSU publications (1st copy circulating, 2nd copy in Archives)
- Non-CSU UMI dissertations/theses received from ILL (other gift non-CSU dissertations/theses go to review shelf)
Items for Special Collections
Materials appropriate for Specials or Archives, including CSU publications, will be identified by selectors. Gifts staff will automatically route editions earlier than 1750 for European and earlier than 1850 for American to selector for Specials.
Maps
Gift maps and atlases will be placed aside for review by the map librarian. If they will fit, they will be placed on the shelf with Oversize items
